Our cloud-based KairoiSuite has two major components:
KairoiLogic equips decision makers to quickly and easily quantify the performance of their clinics, compare the productivity of individual providers, and identify causes of lost productivity and revenue.
KairoiScheduler leverages insights gained from KairoiLogic to design optimized scheduling templates based on historical data, clinic goals, and provider preferences.
Each can be used independently, but deploying them in our integrated process magnifies their impact.
The KairoiSuite Process
Gather historical appointment data. At least two years of data is ideal, to incorporate seasonal factors (weather, flu season, local events). Key data are appointment status and diagnostic codes, which the software correlates to reveal inefficiencies. Data are exported as EHR-agnostic flat files for evaluation.
Cleanse your data. To prevent “garbage in/garbage out,” KairoiLogic uses a patent-pending data cleansing engine, purpose-built to filter out erroneous appointment records—so that such data artifacts don’t skew your analysis.
Analyze data, identify Issues. KairoiLogic analyzes your cleansed data and presents results in user-friendly dashboards that display key indicators of operational efficiency—at the health system, clinic, and individual provider levels. From these objective results, you can learn how top performers operate, establish appropriate benchmarks, and have productive discussions with providers or departments that fall short of goals.
Generate schedule templates and “what-if” scenarios. KairoiScheduler, built around our proprietary appointment-optimization engine, creates customized scheduling templates and facilitates development of “what-if” scenarios.
Implement, assess, refine, repeat. Ongoing analysis, incorporating staff and patient feedback, enables clinic managers to assess the impact of actions taken and performance improvements over time. Clinics can implement observations and new preferences at all levels—system-wide, service line, clinic, and provider—to further optimize scheduling, increase productivity, and nurture providers.
Robust Analytics & Planning
KairoiLogic analyzes an organization’s historical appointment data and helps identify opportunities to improve the efficiency of clinical operations. A proprietary data-cleansing engine removes data artifacts, ensuring that analysis is based on complete and valid records. Reports are presented in user-friendly dashboards, which helps decision makers understand their clinic’s appointment mix by type (e.g., CPT or ICD-10 code) and status (kept, cancelled, rescheduled, no-show). These reports facilitate benchmarking of clinic and provider productivity, enabling objective and quantitative discussion of performance.
Over time, decision makers can conduct ongoing analysis with KairoiLogic to track progress and respond to new requests from clinic managers and/or individual providers. Reports can be generated as often as is useful in a given clinic setting.
Easy-to-Use Schedule Templates & Monitoring
KairoiScheduler is an application for creating appointment scheduling templates that address identified challenges and support provider preferences. It incorporates a robust, proprietary optimization engine, based on a logistics solution proven in the multimodal freight industry, but designed specifically for clinical operations.
The optimizer produces schedule templates based on parameters tailored to the client’s clinics and to individual provider preferences and strengths. System-wide and clinic-wide block times can be easily incorporated into schedule templates.
Easy-to-use tools equip decision makers to conduct “what-if” scenarios, modifying assumptions and use of resources (for example, how adding hours, staff, or exam rooms change the picture). Impact analysis can be done in seconds and minutes, not hours and days. Configurable options allow decision makers to further evaluate performance by clinic, provider, appointment type, time of day, day of week, and time of year.
